Paperless Parts and ProShop belong on overlapping shortlists, but first define the project. Is the goal better intake and estimating while retaining an existing ERP, or a broader flow from estimate to job records and actual costs? That distinction gives a demonstration purpose.
What official material establishes
Paperless Parts describes manufacturing quoting and estimating based on part files, configurable costing and pricing, and connections to business systems. ProShop publishes estimating and job-costing material. These descriptions support examining both for machine-shop workflows. They do not establish equivalent capability, effort or accuracy on your parts.
A shop with stable operational software can evaluate a quoting layer by concentrating on approved quantities, revisions, routes, costs and attachments crossing the handoff. A shop replacing disconnected production records should also test scheduling, purchasing, shop-floor capture and financial ownership rather than assume a better quote editor solves every issue.
Use the same job
Provide a synthetic or safely redacted CNC part with two quantities, a purchased outside process and a revision change. Ask both vendors to estimate using your rates, preserve an override and explain the total. Then request an accepted order and resulting job record. Identify every field entered again.
Follow the job through a hypothetical closeout. Add setup time, material consumption and a changed outside-process charge. Inspect whether users can compare the accepted quote basis with actuals. Ask where the next estimator finds the lesson and whether the original quote remains reconstructable. Record steps, assumptions and unresolved requirements without labeling a vendor demonstration an independent performance test.
Compare implementation scope
For a quoting-layer proposal, obtain the exact ERP connector, data directions, fields and recovery behavior. For a broader system proposal, document records and workflows that move and who owns migration. Neither path is inherently smaller: complicated integration can require more work than a bounded operational change.
Paperless Parts explicitly uses custom-scoped pricing and rejects third-party ranges as inaccurate. Do not invent equivalent subscriptions from directory estimates. Request written costs for the same users, sites, integration, training and support. Keep the unknown ProShop offer visible until the provider supplies it.
Ask who owns rates, part revisions and attachments after launch. Include a sample structured export in the acceptance test. The exit path matters when years of quoting history and production lessons accumulate in a system.
Decision rule
Prioritize demonstrated workflow fit, clear ownership and a realistic transition. If quote preparation is the bottleneck, evaluate it there; if actual-cost records are unreliable, include that problem. Require pilot evidence before selecting either. This source-based purchasing framework makes no hands-on review, universal-winner or performance claim. A buyer should leave the evaluation knowing precisely which handoffs improve and which still require manual control.
