The useful question is where an order loses information. A shop may have a strong accounting and production system but a slow estimating process. Another may send quotes quickly while purchasing, scheduling and production records remain disconnected. These situations call for different evaluations even when both owners ask for manufacturing software.
Follow one order
Draw the actual path: RFQ arrives; files are reviewed; a route and cost are built; a quote is approved; an order is accepted; material is purchased; work is scheduled; time and consumption are recorded; the job is shipped and invoiced. Mark every retyped field and every decision that depends on an undocumented spreadsheet. This map is more useful than a feature count.
A dedicated quoting evaluation should concentrate on intake, geometry or print interpretation, estimating rules, alternate quantities, quote revisions and approvals. An ERP/MRP evaluation should also examine material availability, purchasing, production records, resource planning and financial handoffs. Product labels are not sufficient: capabilities overlap, and a module name does not prove that your particular process works.
Choose a bounded first change
If the principal problem is assembling RFQs and producing consistent estimates, test whether a quoting layer can pass approved information into the current system. If stock quantities, work orders and actual costs cannot be trusted, a new quote screen alone will not repair the underlying records. Write the desired outcome in observable terms, such as preserving a revision and routing when a quote becomes a job.
Paperless Parts publishes dedicated quoting capabilities and integration options. ProShop publishes estimating and job-costing material. MRPeasy’s plan matrix includes production and inventory functions. These are starting points for a shortlist; they are vendor descriptions, not evidence that an implementation will fit your shop without configuration.
Make the handoff the demo
Provide a synthetic assembly with purchased items, a manufactured component and an outside process. Have each vendor turn the approved quote into the next operational record. Check customer identifiers, part numbers, units, quantities, revisions, attachments and promised dates. Change the accepted quantity and inspect whether routing and material requirements update safely.
Assign an authoritative system for each record. A customer address may originate in accounting, while a quote revision originates in estimating. Decide which changes may flow backward and how conflicting edits are reported. A one-way export can be adequate when ownership and recovery steps are clear.
Count the transition work
Budget for cleaning item masters, rates and routings; documenting decisions; training; and a controlled pilot. Ask who maintains custom fields and integrations after an update. Test error recovery and require a usable export. The better first project fixes a measurable failure with clear data ownership. Preserve the workflow map as the pilot’s acceptance checklist.
