Manufacturing procurement starts with a specific handoff. A production planner may need a supplier to acknowledge a revised delivery date, while a purchasing manager needs approval before placing an indirect-material order. A sourcing team may instead be comparing suppliers against a structured BOM. Document the handoff before choosing a platform: those needs do not establish interchangeable product coverage.
Separate buying from selling
Supplier-facing RFQs collect offers for purchases. Customer-facing RFQs arrive at your business and need an estimate or quotation. A shared acronym does not mean the same workflow. JAGGAER describes direct-material sourcing events and award scenarios; SourceDay describes purchase-order collaboration. Ask the vendor to demonstrate the particular side of the transaction your team owns.
Choose a representative material purchase, a maintenance purchase and a changed delivery. Record the initial requester, approver, buyer, supplier contact and receiving role. Note which steps are already handled by your ERP. Avoid evaluating a new system on a process that exists only in a presentation.
Establish the authoritative record
Write down where item identifiers, supplier records, prices, accepted delivery dates and received quantities originate. Have the vendor show how a changed quantity or split delivery moves between systems, including a rejected update. Named connectivity does not prove that every field synchronizes in both directions or that your installed edition is supported.
For BOM-driven sourcing, identify who owns revisions and what happens to an active event after an engineering change. SAP explicitly distinguishes direct-material suite functions from standalone Ariba Sourcing scope. Preserve that distinction in the proposal and acceptance criteria rather than assuming a familiar brand includes every demonstrated function.
Test the complete purchase
Run a request through approval, order placement, supplier response, partial receipt and invoice exception. Procurify and Precoro describe purchasing controls and budget visibility; test those controls using your actual authority rules and site structure. Ask which capabilities need extra modules, supplier licenses or configuration services.
Observe whether staff can identify the next action and its owner without reconstructing email history. Keep unresolved exceptions visible instead of treating a successfully created purchase order as proof that the complete process works.
Preserve an exit path
Request sample exports of orders, responses, approvals, attachments and links to source records. Agree how historical transactions and outstanding supplier commitments would be retained if the platform changed. Define a limited pilot around the original handoff, record observed results and compare them with the baseline. Expand only after the team can explain the resulting records and responsibilities.
